February and March Board Minutes

Board Meeting Minutes  February 23, 2012
(Meeting date changed due to weather cancellation on February 2, 2012)

We met at Ruth’s Stitchery at 4:30.  Members present were:  Bonnie Burt, Susan Reed Throckmorton, Cindy Pring, Mary Hattick and Gloria Lesher

We went over the proposed 2012 budget line by line and it was approved by a quorum.  The membership will vote on it at the March meeting.

Meeting adjourned at 6:00.

Board Meeting Minutes  March 1, 2012

We met at Ruth’s Stitchery at 4:30 pm.  Members present were:  Bonnie Burt, Mary Ruttner, Dana Zimmerman, Susan Reed-Throckmorton and Gloria Lesher.

Budget was emailed to membership.   Dues need to be paid for the present year.  Ruth’s and HCQ were asked for fabric donations for Safe Passage and Veteran’s Quilts.  Discussed charity program for March meeting.  A couple of Veteran’s stitching bee dates may need to be canceled due to conflicts later in the year.

Board Minutes for January 2012

January Board Meeting:  Gloria Lesher

We met January  5, 2012, at Ruth’s at 4:30.     Members present were:  Bonnie Burt, Ann Seymoure, Eddie Gray,  Angela Gilpin, Kathi LaFrance, Barb Rhoads, Laural Hoppes, Jeanie Brooks, Cheryl  Ross,       Susan Reed-Throckmorton,  Mary Hattick, Mary Ruttner,  Cindy Pring and Gloria Lesher

Bonnie would like a welcoming committee to greet new members at meetings.  Bonnie requested that we estimate our financial needs for our 2012 budget so this can be discussed at our February board meeting and printed in the March newsletter.  The by-laws committee will also publish proposed changes in the March newsletter.   We discussed which committees need to be filled and the need for some of our members to attend game manager training.

Cheryl  Ross, Barb Rhoads and Susan Reed-Throckmorten reported on the records inspection of our finances and all was found to be in order.  We discussed  committee budgets, receipts and invoices.

October Board Meeting:

We met  October 6, 2011, at Ruth’s Stitchery at 6:30.   Members present were:   Susan Reed-Throckmorton,  Cindy Pring,  Jeanie Brooks, Gloria Lesher,  Laural Hoppes and Mary Hattick.

Laural announced our total sales of raffle tickets for Rock Ledge and Quilt-A- Fair.  We will donate $100 to the Rock Ledge Ranch.  

We’ve been invited to hang our quilts at Quilt-A-Fair next year.  We will join CQC as a guild for $25.00.

We will make a deposit to Christ Haven Lodge in Florissant to reserve September 21-23, 2012, for our quilt retreat.  This deposit will come out of the raffle account.

August Board Minutes

August  Board Meeting:  Gloria Lesher

We met  August 4, 2011, at Ruth’s Stitchery at 6:40.   Members present were:   Cindy Pring,  Susan Reed-Throckmorton,  Ann Seymoure,  Jeannie  Brooks and Gloria Lesher

Ann has found information for buying  more quilt racks.

The board would like to meet with the By-Law committee to go over proposed changes. 

The Rock Ledge Ranch craft show will be September 16, 17 & 18th. A sign-up sheet for volunteers to sell tickets for our raffle quilt will be passed around at our next meeting.

July Board Minutes


We met July 7, 2011,  at Ruth’s Stitchery at 6:40.   Members present were:  Laural Hoppes, Cindy Pring,  Susan Reed-Throckmorton,  Gloria Lesher, Jeanie Brooks, Mary Hattick  and Julie McNames.

Charity Quilting Bee:  Fabric has been donated and Susan and Julie will ask members for fabric donations.  A motion was made and seconded to give $250 for the Charity Bee to get established with fabric and batting.  Mary will work on a label design for the quilts.

Raffle quilt is at NaLa’s for July and it will hang at Nuts & Bolts in August.

A discussion followed on Carolyn McCormick’s workshop for September 10th.

June Board Minutes-June 2

June  Board Meeting:  Gloria Lesher

We met June 2,  2011,  at Ruth’s Stitchery at 6:40.   Members present were:  Laural Hoppes, Cindy Pring,  Susan Reed-Throckmorton, Ann Seymoure,  and Gloria Lesher

Cindy will check on labels for charity quilts.

Ann will call and ask about a new pole for hanging quilts.

The senior center would charge us $25.00 to hold a bee there.

Laural went over sign-ups  for selling raffle tickets for the Shop Hop the weekend of June  24, 25 & 26.  The Rocky Mountain Sewing Expo will be July 7, 8 & 9.

May Board Minutes


The meeting was called to order by Laural Hoppes at 6:15 pm on May 5, 2011 at Ruth’s Stitchery.  Present were: Laural Hoppes, Susan Reed-Throckmorton, Jeanie Brooks, Cindy Pring, Ann Seymoure and Debby Pyaett.  

A vote was taken by the voting members to change the time of the meetings to 6:30 pm in the future. 
Raffle Quilt sales at CQC in Golden was $50.00.  The next venue in is Greeley and Ann Seymoure has said she will attend to sell raffle tickets.  We will be able to sell tickets at the Rockledge event in Sept.  We will ask for volunteers to help out at the next meeting.  We discussed the new Quilting Bee at Rockledge and Laural will address it at the meeting also.  We are going to try and put the raffle quilt at Ruth’s in May and NaLa’s quiltique in July, in addition to the other places we have booked. 
Programs are going well, and Jeanie is working on 2012 speakers.  She has just a few slots left for new speakers.  Jeanie has asked to have the contract cleaned up and Laural has volunteered to type up the changes for her.  The flyer is done for the next workshop; flyers will be available at the meeting and will be put on the blog/newsletter also.  

It was brought to our attention that members are asking for the “bookmark” we have used in the past with speakers.  The board decision was to print the bookmark, but make it more generic so changes can be made for cancellations of speakers.  

By-Laws committee will meet next week and now has 6 members. 
It was discussed that we will look for an additional venue for the charity quilts that will accept “tied” quilts.  Several members have mentioned to board members they wish to “tie” the quilts.  We also discussed having a Charity Quilting Bee at a quilt shop to make quilts.

March Board Minutes


March Board Meeting:  Gloria Lesher

We met March 3, 2011,  at Ruth’s Stitchery at 6:08.   Members present were:  Laural Hoppes, Cindy Pring, Jeanie Brooks, Susan Reed-Throckmorton, Ann Seymoure,  Mary Hattick,  and Gloria Lesher

A motion was made, seconded and passed to spend $75.00 to get insurance for our raffle quilt.  We will need to spend $50.00 to have the quilt appraised.

A motion was made, seconded and passed to approve the budget as prepared and completed by Cindy Pring.

We are set to have Kathy Meyers for our April program and Kathy Gaul for our May program.

Raffle quilt was at the CQC meeting in Longmont and at the Long arm Meeting in Colorado Springs.  Other venues for the display of the raffle quilt were discussed.

So far volunteers to work on the By-Laws committee include:  Julia Grigsby, Lyn Seaver and Susan Reed-Throckmorton.

Board Meeting Minutes February 3

Colorado Springs Quilt Guild Board Meeting Minutes

 February 3, 2011

Present: Laural Hoppes, Gloria Lesher, Susan Reed-Throckmorton, Ann Seymoure, Cindy Pring, Jeanie Brooks & Bonnie Burt

We met at Ruth's Stitchery at 6:00.

Programs: Programs are set for the year. Contracts have been extended for our May and August programs. March Show and Tell will be reserved for charity quilts only.

Miscellaneous: A suggestion was made to have contact information on our web site for people who are interested in our guild. A quilt network is being established by guilds around the state, allowing for guilds to share speakers. A comfort quilt was given to Margaret Guenther, as her husband passed away in January.

Barb Shie is now trained as a games manager. We would like some other people to be trained. We would like our raffle quilt to be shown February 26th in Greeley, March 18th in Denver and April 2nd in Glenwood Springs. If the quilt is left at a venue overnight, it must be insured and it has to be appraised before it is insured.

Budget: We went over the budget line by line with a discussion on each. The budget will be printed in the March newsletter and will be voted on by the membership at our March meeting.

Board Meeting Minutes

Colorado Springs Quilt uild Officer's Meeting Minutes, December 2, 2010
Attendees: Barb Czarniecki, Mary Hattick, Susan Reid-Throckmorton, Laural Hoppes, Cindy Pring

Meeting started at 6:04 p.m.

Barb said she was wrong and will apologize to the guild at the meeting regarding dues. She was contacted multiple times from members stating dues cannot be raised without a vote by the membership. Dues will be $20.00 for 2011 and we will discuss increasing the dues in January 2011.

Laural gave an update on raffle certification. At present Jean Woofter is the only member who is certified. We will try to get more members certified so Jean doesn't always have to be at the meeting. Laural has done a lot of research and found that Patrick Ryan does a class in the Springs. Anyone interested in becoming certified please contact Laural.

We went over the bylaws and decided to review and revise the bylaws in 2011. The last time it was done was in 2005. We would like all members to review their copy of the bylaws. If you do not have your copy it will be posted on the website. If you have an issue or suggestion please send an email to the website and we will collect them. Please do not call.

Scott stated at the November meeting that he would bring an accuquilt go cutting machine to the meeting in January and we will vote on whether the guild should purchase one for guild member use.

Board Minutes October 7, 2010

The meeting was called to order at 6:00

Mary reported that the First United Methodist Church at  Nevada and Boulder (420 N. Nevada Ave) is willing to rent us space for our guild meeting.s The cost will be $25 per meeting and the church staff will set up and take down tables and chairs. Mary will report to members in the newsletter so they can have information before we vote at the November meeting. She will also get some pictures and post them on the web so people can see what the room will look like.

Mary and Deb both contacted the DAV organization in east Colorado Springs to see about meeting there. Mary contacted via email, and Deb called and left a message. Neither got a reply, so the board decided not to pursue that venue.

Mary also reported that Jonnie Nottingham, a past guild president, found the email address through the website. She had some documents and pictures from the guild in the 90s and wanted to return them. She sent a box and Mary will return it to the guild at the next meeting.

Laural reminded the board that there were 4 quilts donated by Angela Gilpin last year for binding. Laural Hoppes, Lyn Seaver,  Daniella Keenan, and Pat Webb each took one to bind. We will check to see which will be brought back for the auction.

Ann Seymoure reported that the charity quilts she brings to Safe Passage are definitely appreciated. Also, the staff reports to her that the first quilts to be picked out by the children, are those with fleece backing, so please feel free to use fleece. She also stated she still has plenty of fabric for tops, and lots of fleece for backing. Please contact her if you want any fabric or backing for charity quilts.

Board Minutes 1-7-10

In attendance:

Barb called the meeting to order at 6:00

Debbie Korrell volunteered to be in charge of raffle tickets for 2010. Many more tickets were printed than were sold in 2009, so only half the number will be printed and distributed this year.

Barb got an announcement from the Rocky Mountain Quilt Museum of their new location of 1213 Washington Ave. (one block south of the prior location). She also received some items from them that she will put in a monthly raffle basket for the guild. She also mentioned an opportunity for making charity quilts. If you want to make quilts for kids go to http://www.quiltsforkids.org. You can request a quilt kit--fabric, pattern and backing. They will send it to you and ask that you sew the top together, add your own batting and quilt it. Then return it to them to be donated to hospitalized children as comfort quilts. You can also find free, easy patterns for charity quilts on their website.

Cindy Pring announced that Martha Johnson and she are in the process of transferring all accounts to Cindy so she can take over the treasurer's duties.

Laural reminded us that if members do not pay their dues by the February meeting (as stated in the by-laws) they will be removed from the member roster and will be considered guests and be expected to pay the $5 guest fee at each meeting they attend. Laural also announced positions on committees that still need members or chairperson:
  • Nominating Committee
  • Raffle Tickets (Debbie Korrell volunteered)
  • Hospitality (Susan Reed-Throckmorton volunteered via her membership application)
  • Historian (Becky Straup volunteered via her membership application)
  • Christmas Party needs a chairperson--has two members already
  • July Birthday Party needs a chairperson--has two members already
  • Monthly Raffle needs a chairperson--has a member already
  • October Auction needs members--has a chairperson

Barb purchased 300 bookmarks to be placed at local fabric shops to advertise the guild. They will be placed at Ruth's Stitchery, High Country Fabrics, Mill Outlet, Ladybug Hill Quilts, Nala's, Hancock Fabrics and Nuts and Bolts. Barb will have more printed for members.

Jo Ann Anderson will present the program at the February meeting--a Quilt Memory Book. It will be a make and take program. She will bring a sample to the January meeting so members can see it to know what it will look like when done. She also received information about a possible program for 2012. A company makes pre-cut quilt kits and would like to come and show the kits and do a trunk show.

In February, there will be no Show and Tell to give more time to complete the Quilt Memory Books. As a result of budget cuts and changes in policy at the Senior Center, we have to be out of the room (with all clean-up completed) by 9:00.

Cindy Pring and Jeanie Brooks have volunteered to make the guild raffle quilt for 2011. They already have the pattern picked out and plan to use bright batiks for the fabrics. They plan to bring the pattern and sample fabrics to the January meeting and ask folks to look through their stashes to donate fabrics for the quilt.

Ann Seymoure expressed concern that we are not as active in making charity quilts as in previous years. She suggested that we could ask someone from the organizations we donate quilts to come and tell us about how the quilts affect those who receive them. We could do this at the Christmas party, so we include giving as well as receiving during the party. If we had more connection to the organizations, and understood how valuable they are we might be encouraged to make more quilts. It was also suggested that we might set a number goal for donated quilts and keep track using a large thermometer graphic to see how close we are to the goal.

Laural suggested that we might consider making our own quilt stands for use by the guild. We might then be able to have a guild quilt show. Someone suggested we might contact other guilds in the area to "rent" their stands instead of making them and having to store them all year.

Barb suggested we reinstate the quarterly drawing for a prize for members who participate in show and tell. Each time they participate they will be entered in the drawing for a prize. Mary suggested we could do the same thing for those who bring in charity quilts.

As a result of budget cuts and changes in policy at the Senior Center, we will not have as much time or as much staff to help us with set up and tear down. We are going to set up only the first couple of rows of chairs, and when members come in they will be asked to grab a chair and add it to those already set up. We also need more members helping with clean-up after meetings. Please be sure to take your chair and put it away. Also look around your area and pick up anything left on the floor.

Board Meeting Minutes 2 July 2009

Colorado Springs Quilt Guild
Board Meeting
July 2, 2009

Attendees: Barb Czarniecki, Debbie Korrell, Jean Woofter, Laural Hoppes, Mary Hattick
Absent: Martha Johnson, JoAnn Anderson

Barb called the meeting to order at 6:00 PM

Jean Woofter: Tanya Santini will run the raffle quilt for August.
65 tickets were sold at Bancroft Park for the raffle quilt.

Mary Hattick: the guild has a new email address: cospringsqg@gmail.com. Barb made a motion and Debbie seconded that the board will pay for photo hosting on flickr.com. The free hosting allows 200 pictures per year and we have exceeded that limit. The cost for unlimited uploads and photos is $24.95/year. The new web presence for the guild will be a blog. The address is http://csqg.blogspot.com. The site will be updated as information is available. Mary Hattick will have slips with the blog address available for attendees at the July meeting, and will make a presentation at the August meeting introducing the blog to the guild.

Laural Hoppes: Clean-up after guild meetings has been left to a few officers. If all members will pick up their own chair, and a few stay to help put away tables and food it will be much more effective and efficient.

Laural: at the June meeting (David Taylor’s presentation) we had many guests. A number of them were 2nd time guests and did not sign in, so did not pay the $5 fee requested from 2nd time guests. We are suggesting that ALL guests now pay a fee to attend meetings. This will be brought to the guild members vote at the August meeting.

Laural: the by-laws state that if a new member wants to join the guild during June (or later) they should only pay half the dues, but returning members have to pay the yearly cost of dues, no matter when they join. The board thought we should make all purchased membership dues (new or returning member) half cost after June.

Jean Woofter: wants to be sure to get pictures of the items for the monthly raffle with the person who donated, as well as of the person who won the item to make a scrapbook. We will focus on getting this started in January 2010.

We still need people to work on the auction.

Jean Woofter volunteered to call members to solicit nominations for next year’s board.
